What we do:
* Research and recommendation of appropriate venues, supported by
extensive personal familiarity with Australia wide meeting venues;
* Negotiation of lowest possible rates for venue hire and service provision;
* Provision of comprehensive conference management services, including:
* Program design and speaker selection, in consultation with client;
* Desktop publishing of call for abstracts, registration brochure, promotional
material, program and related conference materials;
* Participant registration and accommodation management, using specialised
conference software;
* Delivery of integrated conference presentation and audio visual solutions
* management of venue and services (eg. catering, entertainment, transport
etc);
* Trade exhibition management;
* Ability to identify, source and recommend pre and post conference tours and
supporting social events; and
* Facilitation of national travel through a partner company (at no additional cost
to client).
Services Offered
On Q provides an administrative support structure for
conferences/seminars/workshops/events/trade exhibitions. A fully staffed secretariat is provided from the
date of appointment until completion of the event.
On Q provides the following services:
Secretariat
* ensure appropriate consultants assigned to each event
* attend planning meetings in person or via teleconference
* monitor critical deadline dates to enable all parties to coordinate efforts
* provide a telephone/facsimile/email and mailing base for enquiries
Administration
* specialised conference “EVENTS” software tailored to each event
* provide secure online registration
* acknowledge registrations via a personal letter on conference letterhead. The
confirmation letter includes a Tax Invoice detailing payments made, functions,
accommodation reservations and money outstanding
* provide regular financial reports
* prepare detailed preliminary budget specifying fixed and variable costs
* prepare final budget
* monitor expenditure against budget, ensuring costs are kept within budget
* provide Visa, Mastercard, Bankcard, Diners and American Express credit
card facilities
* bank registration monies
* invoice for monies outstanding
* process delegate refunds
* provide computer generated registration, financial statements and cheque
reconciliation lists, as required
Accommodation
* research availability and negotiate appropriate range of accommodation for
delegates
* prepare accommodation information for inclusion in registration brochure
* process, amend when necessary and confirm all bookings with delegates
* book and monitor hotel bookings
* provide hotels with rooming lists and deposits prior to arrival of delegates
Venue Management
* research venue options and negotiate best value for money
* liaise with the venue concerning all meeting room set ups, signage,
registration facilities, food and beverage requirements
Production
* ascertain the level of technology required
* negotiate best possible rates and appoint audio visual supplier
* liaise with audio visual supplier regarding all audio visual requirements
* supervise overall staging and audio visual production
* organise signage
Printing
* provide advice on layout of conference brochures/promotional material
* prepare conference brochures/promotional material, if required
* submit “camera ready” copy to printers
* prepare evaluation forms
* prepare delegate list for insertion into conference satchels
* prepare delegate name badges
* prepare signage as required
Social program
* coordinate all aspects of social program activities
* advise on options available for conference dinner
* brief caterers, manage entertainment and themeing, paying particular
attention to dietary arrangements
* facilitate ground transport for social program (if required)
Partners' Program
* arrange a selection of interesting and memorable accompanying person’s
program
* ensure partners are made to feel part of the overall conference group.

Doreen Culliver, Principal
With more than 20 years experience in the not-for-profit Association industry, Doreen has specialised
in the professional management of national and international conferences and congresses.
Doreen was responsible for the establishment of a conference organising service for a major
Australian Association and personally managed events from development stage through to financial wrap up.
Each event has encompassed large trade exhibitions and delegate attendances have ranged from 100-1400.
Events have ranged from single stream to up to 13 concurrent streams attracting an average of 300 speakers.
Doreen’s particular expertise lies in knowing the requirements specific to providing efficient and effective large
and small-scale conferences, exhibitions and continuing education forums.
A member of the Meetings and Events Australia (MEA) and a past committee member on the
Local ACT Division of MEA, Doreen's vast experience in event planning and management has seen
her develop a nationwide network enabling access to a wide range of high quality specialist
services across Australia.
